Privacy Policy and Terms of Use – TubeMap

Your privacy is important to the TubeMap/Bioinpy team (“we”, “our”, “app”). This Policy explains how TubeMap collects, uses, and protects information related to the app.

1. Data Collection

TubeMap is designed to help organize and track laboratory samples inside racks, refrigerators, and freezers. The app stores rack and sample organization data primarily locally on the user’s device.

Information that may be processed:

• Rack names, rack dimensions, storage type, and storage location entered by the user;
• Sample barcodes or QR codes scanned by the user;
• Rack images voluntarily submitted by the user for AI-assisted rack dimension detection;
• Country information obtained from IP address, used only to load localized content and region-based laboratory banners.

TubeMap does not request or store personally identifiable information such as name, email, exact location, patient identity, or personal health data.

2. Use of Information

Processed information may be used for the following purposes:

• Create and manage rack maps;
• Store and locate samples by barcode or QR code;
• Generate QR codes for physical laboratory racks;
• Export rack and sample reports in PDF format;
• Assist with rack dimension detection using AI;
• Display localized content and region-based laboratory banners.

Images submitted for AI rack detection are used only for processing the requested function. We do not use submitted images for model training.

3. Information Sharing

We do not sell users’ data. Information is not shared with third parties except:

• Servers used for AI rack detection, without personal identification;
• Advertising providers such as Google AdMob, according to user consent and device settings;
• When required by law.

4. Local Storage

Rack maps, scanned sample identifiers, storage positions, and related organization data may be saved locally on the device using local app storage. If the app is uninstalled or app data is cleared, locally stored information may be lost.

5. Security

We apply reasonable technical and administrative measures to protect processed data against unauthorized access. However, users are responsible for protecting their own device and exported files.

6. Consent

Use of TubeMap depends on the explicit acceptance of this Policy and the consent notice displayed in the app before first use.

7. Professional Use

TubeMap is intended as an organizational and educational support tool for laboratory workflows. It is not a medical device and does not provide diagnosis, treatment, or clinical interpretation.

8. Responsibility

The user is responsible for verifying rack positions, sample identifiers, exported reports, and all information entered or scanned in the app. We are not responsible for sample misidentification, storage errors, clinical decisions, or operational decisions made exclusively based on the app.

9. Intellectual Property

All rights to the app, interface, algorithms, texts, logos, and trademarks are reserved to the TubeMap/Bioinpy team. Copying, reverse engineering, redistribution, or unauthorized commercial use is prohibited.
